Position Overview
We are looking for Purchasing/Procurement administrators to provide support to the procurement team by carrying out general administrative duties and placing orders for equipment and materials. This role involves thoroughly organizing and storing documents, making purchase orders, updating records, and responding to order issues. This job is typically full time and office-based. People wishing to work as a procurement administrator must need excellent organization skills, must be used to working as part of a team, have an aptitude for maths, and can take part in decision making to resolve issues if they arise.

Academic Qualification

  • College Degree is preferred
  • At least 1 year of experience in the procurement space required (Internship experience is acceptable)

Roles and Responsibilities

  • Monitor Inventory Stock by observing whether the necessary items have arrived and preparing the lists of what needs to be reordered. 
  • Procurement administrators must be aware of supplies whether they are enough or low so they can make purchase orders in advance of stock running out.
  • Negotiate with Suppliers in matters of material and order costs, and compile cost reports for invoices. In some cases, bargaining may be necessary to get the best rates possible.
  • Prepare Purchase Orders send order requests to suppliers. 
  • They are also required to update records and follow up with vendors to check if the order is being processed.
  • Resolve order problems if any issues arise such as incorrect or late.
  • They build and maintain relationships with key contacts within the companies, working with them closely to fix problems as soon as possible.
  • Update and file records like preparing and forwarding invoices, updating databases, filing, and organizing documents for accounts. 
  • Provide additional administrative support for team members as necessary.

  • In-depth knowledge of IT products for latest updates.
  • Process driven and attention to detail which is accuracy in performing procurement responsibilities
  • Superb organizational, presentation, and customer service skills
  • Excellent skill in preparing written communications and materials
  • Interpersonal skills such as communication skills, active listening and customer-care service
  • Ability to perform multi-task and adapt to changes quickly
  • Self-motivated with the capacity to prioritize work in a fast-moving environment

Salary ranges depending on the experience. Typically, the average salary for a Purchasing Administrator is around Rs 17 to 18 thousand per month.
