SOP Development Methodology for International Clients

Since 2007, Fhyzics had been developing SOPs for our clients in India and abroad. In case of our SOP developments in India, we extensively travel across the length and breadth of the country. But in case of international SOP development, it is the call taken by the clients. Those projects supported by generous budget, we are requested to travel to the company to conduct our elicitation activities, but in other cases we d it online. Our team has mastered both the modes of SOP development, but when it comes face-to-face meetings the project moves much faster and works for stricter deadlines. The following is our 12-step approach to develop the SOPs.

1. Receive Enquiry: Whenever we receive an SOP enquiry, we request the client to complete a SOP Requirements Gathering form to get the high-level details of the organisation and their specific SOP needs. We would be very glad, if the client provides the detailed list of SOPs required for them.
2. Provide Estimate: The SOP Requirements are passed on to our estimation team and they come out with the cost and time estimates. This will be submitted to the client as an estimate with most of the details required for them to decide.
3. Sign NDA: Most of the organisations would like us to sign a Non-Disclosure Agreement (NDA) to protect against their data, information, and business secrets. We have a standard format and will be provided on request.
4. Establish Steering Committee: The first step towards a successful SOP development, training and implementation requires the establishment of a steering committee consists of Subject Matter Experts (SMEs). Fhyzics team brings the business analysis and SOP skills sets to the table and they need your full support to understand your very own business processes. Of course, Fhyzics team brings the industry best practices to you.
5. Elicit Information: Our team of consultants will schedule GoToMeeting sessions with client SMEs to clarify their questions, learn and understand your business processes.
6. Document Information: Such gathered information is document as Elicitation Reports and shared with the client SMEs for the verification and validation of the information as it is going to be the foundation of the SOP development.
7. Identify List of SOPs: As soon as the business processes are identified, we prepare the list of SOPs that are suitable for your organisation and provided to the steering committee.
8. Create SOP Project Portal: Meantime, we establish an SOP Portal on Microsoft SharePoint through which the developed SOPs and other documents will be shared. It is a secure platform for communication between Fhyzics and client team.
9. Map Business Processes: Based on the verified and validated, elicitation reports, our team will prepare the business process maps and share the same with the client’s steering committee.
10. Develop SOPs: Once the process maps are approved from the client end, our team commences the detailed SOP development.
11. Deliver SOPs: The completed SOPs are delivered to the steering committee and the respective stakeholders for their review and any changes requested are incorporated.
12. Train Stakeholders: Using the finalized SOPs we train the users of the SOPs.
